Outsourced Marketing Team: When It Makes Sense, and How to Set It Up

Studio FLF · 2026-09-16

An outsourced marketing team is not an agency and not a hire. It is a small set of people you do not employ, led by one experienced marketer, who run your marketing on a fixed number of days a month and report on one page. For a growing business that has outgrown the founder doing everything and has not reached the size for a department, it is often the right shape. Here is when it makes sense, what it must include, and how to set it up so it pays.

When it makes sense

When the founder spends more than a day a week on marketing. When several freelancers or an agency exist and nobody briefs them or reads what they return. When the company enters a phase (a launch, a new market, a raise) that needs method for a year. When hiring a full-time marketing director would be a bet the numbers do not yet justify.

What it must include

A lead who decides with you and steers the rest: positioning, plan, priorities, measurement. A writer who has talked to your customers. A designer for the site and the visuals. A video partner who shoots real people and delivers every format. And the instrument: a monthly one-page dashboard of inquiries, their source, cost per inquiry, and conversion. A team without the instrument is a team you cannot judge.

Framing it in one page

One measurable twelve-month goal. A fixed number of days per month for each role. A monthly one-hour review with the founder: one page, three decisions. A three-month exit clause both ways. Direct access to your sales staff and your team, and to the vendors already in place. Ownership of everything produced, including footage and accounts.

The monthly rhythm

Week one: the numbers and the three decisions. Weeks two and three: production in batches (pages, posts, visuals, one shoot a quarter). Week four: distribution and outreach. The founder gives forty minutes a week of real material for LinkedIn and sits in one hour a month. That is the whole cost in founder time.

What it never replaces

The founder's voice in front of customers and on LinkedIn. The quality of what the company delivers, the only durable source of referrals. And the decision: the team proposes, the founder decides.

The first piece an experienced lead builds

Proof: what creates trust before the first conversation. In it, the brand film, because it serves every channel and lasts for years, and can be measured if it ships with its page and its counter. Studio FLF regularly works as the video partner of outsourced and in-house marketing teams, on the corporate films that hold that place.

If you are setting up a marketing team and that piece is missing, tell us about the project.
